YSS is Hiring an Events and Marketing Assistant Near Ames, IA

The Events and Marketing Intern works as part of the Community Engagement Team (Team) and will be under the direct supervision of the Marketing Director. This role assists with the development, coordination, and execution of YSS programs, events, and activities including internal office functions, staff recruitment career fairs, the YSS holiday party, and the YSS annual holiday giving project for children in the community.
Responsibilities include:
General
  • Attending a mandatory YSS orientation to cover agency procedures, policies, and requirements.
  • Attending Team meetings, event specific meetings, and all-staff trainings or meetings.
  • Assisting with the management, planning, and execution of assigned events.
  • Developing an understanding of each event’s requirements.
  • Maintaining communication between the Team and the event’s sponsors (typically YSS staff members).
  • Managing event set-up, tear down, and follow-up processes.
  • Ensuring the event runs as smoothly as possible on the day of the event.
  • Attending the event, which may include events scheduled on evenings and weekends.
  • Writing follow-up thank you notes and maintain positive working relationships with retailers, volunteers, and supporters.
Career Events
  • Identifying career event opportunities and developing a calendar of events.
  • In consultation with supervisor and Recruitment staff, determining which events YSS will participate in and subsequently registering for those events.
  • Working with Team and other YSS staff to coordinate who will attend each fair, participating in fairs as availability permits.
  • Sending Outlook meeting invitations and reminders to attendees.
  • Preparing handouts, materials, décor, and swag for events.
  • Following the event, collecting attendance sheets, and entering data into the tracking spreadsheet.
  • Developing a contact list of individuals external to YSS who have responsibility for recruitment events.
Holiday Giving
  • Coordinating the YSS Holiday Giving program for over 600 youth and families.
  • Establishing the online registry and soliciting the names of families/youth in need from YSS staff.
  • Creating tree tags based on the registry.
  • Working with retailers to get permission to place Christmas trees in their locations.
  • Setting up and decorating Christmas trees, including the tree tags.
  • Managing signage, parking, and receipts for community donation drop-off.
  • Establishing wrapping stations and distributing treats and presents to the various YSS locations.
  • Collecting trees and décor from retail locations following the event.
Annual Summer Supply Drive
  • Work with each YSS program to develop a list of program needs for regularly used items /supplies.
  • Coordinate all lists into one Master List, coordinating all lists into a master list of items needed.
  • Coordinate with stores in Ames and Des Moines to secure permission and identify July date for tabling events.
  • Work with Development staff to coordinate volunteers to distribute supply lists and collect donations.
  • Collect the donations received from all area, inventory items, and distribute items to programs

Required

  • Currently enrolled as a college student (prefer junior or senior).
  • A valid, state-issued driver's license and access to reliable transportation.
  • Excellent listening, verbal, and writing skills and the ability to initiate communication.
  • Exceptional level of organization with outstanding attention to detail
  • A positive, team-based approach to working with others.


Preferred

  • Event Management, Marketing, Public Relations, or similar major, but all majors welcome to apply.
  • Event management experience.
  • Creativity, resourcefulness, self-motivation, and effective time management.
  • A strong client focus and the ability to recognize the needs of diverse stakeholders.
  • Familiarity with Google Docs, Microsoft Word, Excel, Outlook, and data entry.
